How can a small business use AI without hiring a developer?
You do not need to build anything. For a small business, the useful AI is already inside tools you can subscribe to this afternoon — the skill is knowing which jobs to give it.
Four jobs it is genuinely good at
- First drafts. Proposals, follow-up emails, job descriptions, the policy you have been avoiding writing. A rough draft in thirty seconds that you then fix is faster than a blank page.
- Summarising. A long email thread, a recorded meeting, a contract you need the gist of. Reading time is a real cost and this reduces it.
- Pulling information out of documents. Turning a stack of receipts, statements or forms into structured data. This is where the hours actually are for most back offices.
- Answering the same question repeatedly. The twenty questions clients ask before every engagement, answered consistently.
Three places it costs you time instead
- Anything where being wrong is expensive and nobody checks. The output is fluent whether or not it is right. Fluency is not accuracy.
- Work that was never worth doing. Automating a report nobody reads produces the report faster. It does not help.
- Replacing a person’s judgement rather than their typing. The typing is the part worth handing over.
The rule that keeps this safe: a person stays accountable for anything that leaves the business or goes into the books. Use it to produce the draft, not to approve it.
A sensible order to start in

Before you paste anything sensitive
Check the plan you are on. Business and enterprise tiers generally commit in writing not to train on your content; free consumer tiers frequently reserve the right to. If you hold client financial records, that difference is not a technicality — it is the difference between a tool you can use for client work and one you cannot.
